Paychex, a Rochester, NY–based payroll and HR services provider for small and mid-sized businesses, offers employee handbooks tailored to client policies. These handbooks, bound in small three-ring binders, were typically ordered in small quantities. To boost interest and streamline production, Paychex sought a way to create custom binder covers featuring each client’s logo and industry-themed imagery.
Paychex needed a digital print partner capable of handling short-run, variable data jobs quickly and electronically. They partnered with High Falls Print Solutions to develop an automated workflow.
Paychex clients could upload their company logo and select from 116 possible cover configurations—varying by background, color, industry, and language. Orders were transmitted electronically to High Falls Print Solutions via CSV files and EPS logo uploads.
High Falls Print Solutions built a server-based system to parse orders, generate high-resolution print-ready PDFs and JTF files for automated press setup, and combine small orders into efficient production runs. The system also produced packing and job sheets for tracking. Finished covers were printed, bulk packed, and shipped for final assembly into binders.
The automated system enabled Paychex to efficiently deliver fully customized employee handbooks with faster turnaround times, lower costs, and higher client satisfaction.
